What you share

Our planner asks for your name, email address and optional country or region and phone number. Your request also includes the website language detected from your browser so Hillsome Trails team knows your preferred language. Travel enquiries can include a journey, dates, group size, interests and preferences. Community enquiries can include a topic, organisation and your ideas.

How we use it

Hillsome Trails uses these details to review your request, discuss arrangements and prepare a response or personal quotation. Only share information relevant to that conversation. You do not need to include passport numbers, bank details or detailed medical records in the planner.

Submitting and following up

When online submission is available, the website saves your request and provides a reference and private tracking code. Authorised staff can manage the request and publish a status, message or quotation. Keep both tracking codes private. The tracking screen does not display your contact details or internal staff notes.

If you choose email or WhatsApp, the prepared message opens in that service and is sent only when you send it there. Those services have their own privacy practices.

Hosting and access

The website is hosted on Vercel. Online request storage uses a dedicated Supabase database when connected. The database and staff workspace restrict access to authorised staff. Server-side credentials are not included in the public website.

Cookies and technical checks

The staff workspace uses an essential session cookie to keep authorised team members signed in. Browser-language detection uses your browser’s language settings; it does not use your country or location. Public forms use temporary browser state to hold the details you are entering. Anti-spam checks use a one-way keyed hash of connection information for short-lived rate limits; raw IP addresses are not stored in the request database. This website does not include advertising trackers or analytics scripts.

Travel updates and payments

Newsletter subscriptions require email confirmation. Resend delivers confirmation emails and stores confirmed subscriber details; each confirmation includes an unsubscribe link. Deposit checkout uses Flutterwave when enabled. Payment details are entered on the provider’s secure checkout, while Hillsome stores the transaction reference and verified payment status.

Review and social platforms

Google, Tripadvisor review widgets, Instagram and Facebook may receive your connection information when you load their content. Social and review embeds load after you choose; their providers have their own privacy and cookie practices. Currency conversion uses dated public reference rates without sending enquiry details.

Your questions and requests

To ask about your information, correct an enquiry or request deletion, contact info@hillsometrails.com. Include your request reference if you have one. Hillsome Trails team will discuss what can be corrected or removed and any records that need to be retained for an existing booking.
